    General Information

    This Web based email application allows you to get your email no matter where you are as long as you have access to a computer connected to the Internet. You don't have to worry about setting up and perhaps messing up the POP3 and SMTP information on some one else's computer email program. You simply go to your e-mail web page; type in your name and password; and your you get your mail.

    You can also use this web based email application to send new mail,reply to email and forward email to others. There are tools to help you keep you contact list/address book up to date as well as manage your email with folders and filters.

    Initially you are given 10 megabytes of storage for your e-mail. If you use up this space you will start to get emails telling you to delete some of your saved letters to free up space. If you need more please contact the site administrator.

    PLEASE READ THIS

    If you do not use your email account for a period of 60 days you will be sent an email indicating the you account will be inactivated in 30 more days. If you still do not use your account during this time your account will be deleted and free for someone else to use.

    This site respects your privacy and will contact you before giving any official agency access to you mail account.

    Remember do not use this site for sending SPAM. You will lose all access to this sites facilities if we get email objecting to your doing this and they can offer proof of your actions.

    Setting Up Outlook Express and other mail clients to read your mail.

    Some users will want to access there Marsh.org mail using a standard mail client like Outlook Express or Eudora. This requires setting up the POP3 and SMTP mail server information in the mail client. Instructions for setting up Outlook Express are given below. Other mail clients will be similar to this.

    1. Open Outlook Express go select Tools then Accounts
    2. From the Accounts Window select New and then Mail
    3. Type in your name and select next
    4. Type in your email address i.e. bob@marsh.org etc. and select next
    5. For My incoming mail server Select POP3 (its the default)
    6. Type Marsh.org for the POP3 mail server name
    7. Type the name of your local ISP's SMPT server for the outgoing mail server and select next
    8. Type your marsh account name in the space for account name
    9. Type your marsh password in the space for password and select next
    10. select finished and your done.

    If you have any problems , contact the site administrator with a VERY detailed description of your problem. The administrator will try to get back to you ASAP.

    Inbox..Checking for New Mail

    To check for new mail in your Cyclonic Web-Mail Account simply click on the Inbox Icon in the Web-Mail Menu. This will refresh the Inbox with any letters on the Mail Server.

    Reading an E-mail Message

    To read an Email Message simply click on the subject of the letter you want to read. This will open the letter reading Window which will contain the Email Message. Any attachments that were included with the Email Message will NOT be opened but a link to them will be displayed.

    Looking at Files Attached to an E-mail Letter

    Sometimes you may find a file attached to your email letter. This may be a document or a picture etc. It is wise NEVER to open an attachment that comes from a stranger. It may have a worm or virus associated with it. If you have the correct virus scanning software on you computer this shouldn't be a problem but still think before opening is a good motto. To open an attached file look at the bottom of the letter and you will see the file name. double click on this and if your browser supports the file type it will open the file and display the information or picture to you . Otherwise it will ask you where you wish to save the file on you computer.

    Forwarding an E-mail Letter

    There are two types of forwarding available to you. This section describes forwarding a particular email letter. To have all your marsh.org email forwarded to a different email address automatically see E-mail Forwarding.

    To Forward an Email letter from your Web-Mail Account simply open the letter you wish to send by clicking on the letters subject. At the top and bottom of the Message screen you will find a "Forward" Button which when clicked will open up the Compose Letter Window with the quoted Message (see Composing ... ). You will need to supply the recipients Email Address, a subject, and you may also want to attach a file to the outgoing letter. Once you have completed the letter simply click the "Send Now" Button to send the Forwarded Email letter.

    Replying to a Letter

    To Reply to an Email letter from your Web-Mail Account simply open the letter viewing Window by clicking on the letters subject. At the top and bottom of the Message screen you will find a "Reply" Button which when clicked will open up the Compose Message Window with the quoted Message (see Composing ...). You will need to supply the letter body, and you may also want to attach a file to the outgoing letter. Once you have completed the letter simply click the "Send Now" Button to send the Replied Email Message.

    Moving Letters to a Folder

    To move a Letter(s) to another Folder simply select the letter by clicking the checkbox next to the letter (or letters) you wish to move. Select the folder you wish to move them to from the list of folders next to the "Move to Folder" Button then select this button to complete the operation. To learn how to create a mail folder.     Deleting E-mail Letters

    To delete an E-mail letter or letters from your Inbox or any other User Mail Folder simply select the letter by checking the checkbox next to the letter you wish to delete. Once you have selected the letter (or letters) you wish to delete simply select the Trash Folder in the "Move to" Selector and click the "Move to" Button.

    Opening a Letter Folder

    To open a Letter Folder simply select the Folder from the list next to the Open Folder Selector and then Press the "Open Folder" Button. This will display the Letter Folder along with a list of the letters the Folder contains. If you do not see the Open Folder Button select the Inbox icon at the top of the page.     Composing Mail

    To compose an Email Message using your Web-Mail Account simply click on the Compose Icon in the Web-Mail Menu. The Compose Message screen provides inputs for: recipients E-mail address, CC and BCC Addresses, Priority, Save Copy, the letter Subject, the body of the letter, and Attachments. Once the letter has been composed simply click on the Send Now Button to send your Email Message.

    Please look at Preferences as well for ways to customize the mail you are sending.

    BCC: and CC: Fields

    When you wish to send a number of people letter you can send it two distinct ways:

    When you put people's e-mail addresses in the CC: field everyone can see everyone else's email address.

    But, when you use the “BCC” field, the system hides the addresses of everyone else.

    Remember to separate the email addresses with a comma ",".

    Priority Field

    This field allows you to set the importance of you e-mail you are composing to high, normal, or low. The default setting is normal. You can see the priority level of you incoming e-mail on the Inbox page underneath the exclamation point "!". An up arrow indicate high priority; nothing indicates normal priority and a down arrow indicates low priority.

    Save Copy

    When this box is checked a copy of the letter is saved into your Sent Items folder. This is a useful feature that allows you to check what letters you have sent or to resend at later date.

    The default value is to save a copy; see Preferences to change this.

    If you use this feature and send al ot of letters you will have to clean up this folder on a regular basis; otherwise you will rapidly use up your assigned disk space for you letters.

    Attaching a File to an Outgoing Email letter

    To attach a file to an outgoing E-mail letter that you are composing simply click on the Browse Button in the Attachments Area of your Message Screen. Find the directory the file is and and then select the file to attach and click on the attach button. You must be using a Browser that supports File Uploading to utilize this feature.

    Drafts

    While on the composing page,you can save unfinished mail in the drafts letter folder so that you can finish it and send it later. To access it later, open the drafts folder and select the letter you wish to work on. For more details on how to do this see Opening a letter Folder

    Options

    The Options Icon in the menu gives you access to some of your Web-Mail Accounts various features including: Preferences, Folder Management, Address Book, Filter Management, and the Mail Account Setup facilities for your Signature and Real Name.

    Preferences

    This is where you set up your default user information associated with you outgoing e-mail letters and the sorting order for your inbox mail.

    Full Name: The name you want seen in the e-mail letters that you send to others. It can be anything you want. The default is set as the name you registered under.

    E-mail Address: the email address that you want included in the outgoing e-mail letters so that people can easily reply to you. Normally this would be your accountname@marsh.org email address, but it can be any valid email address that you have. The default is set as your marsh.org e-mail address.

    Save Copy: When selected this will save a copy of the letter you sent to the Sent Items Folder. The default is set to save,see Save Copy

    Mail Box Sorting: Normal will sort mail with most recent mail listed first. Reverse will sort mail with most recent mail listed last. The default is set as Normal

    E-mail address saving: When replying to an email the recipient's e-mail address and name can be automatically stored in your address book. Three modes are available:

    • Don't Add
    • Ask Before Adding
    • Always Add

    The default is set to Always Add

    Mail Signature: this is any text you would like automatically added to your out going letters.

    Folder Management

    The Folder Manager allows you to Add, Delete, or Rename E-mail Folders. This can be very useful to store mail with important info in it or when used with the filtering tools that are available. See Filter Management.

    To Add a new folder simply type in the name of the new folder in the box above the Create Button and then press the Create Button.

    To rename an existing Folder select the folder to rename, type in a new name for the folder in the box above the Rename Button, and then click the Rename Button. Warning: any filters using this folder will have to also be changed to reflect the new folder name.

    To Delete a folder simply select the folder in the list of activated folders and press the Delete Folder Button. Warning: any letters in the folder will be deleted as well so be careful using this

    The Sent Items and Drafts folders are automatically created and can NOT be renamed or deleted so they are not listed here.

    Filter Management

    The Filter Manager can organize new mail arriving into your Web-Mail Account. The two main uses for this are:

    • To automatically get rid of Spam letters; i.e. repeated advertisements from some specific source that you don't want
    • To automatically sort letters from certain important sources into their own folders.

    To create a new filter:

    • click the "Add Filter" Button in your Filter Manager.
    • Then your will need to decide which Message Field you want to apply the filter on: From:, To: or Subject: .
    • The text to search for in the field,
    • An action to take if a letter matches the rule. Actions can be either to trash the letter or move it into one of your personal folders.

    You can specify up to a maximum of 5 Email Filters

    E-mail Forwarding

    If you just want a marsh.org email address but don't want/ to bother with this site because you ALWAYS get your mail some place else; then you should setup E-mail Forwarding. What this will do is automatically send any mail that goes to your marsh.org email address and send it (forward it) to another email address that you specify; i.e. your business e-mail address. It will NOT be saved on the marsh.org server!

    You must still access your mailbox from the marsh.org site once every 60 days. or you will be sent mail indicating that your account will be deactivated. See General Information

    Aliases

    Aliases are other marsh.org email address names that you have been assigned by the mail administrator.

    For example if you had the account name george and you had the nickname gonzo. You could ask the administrator to add this name as an alias to your account. The name Gonzo would then show up in your alias list and any mail sent to gonzo@marsh.org would be put in your george@marsh.org Inbox. You could then use filters to have it automatically put this mail into a separate letter folder. For more details on how to do this; see Filter Management.

    Address Book

    The address book allows you to store all the information regarding your contacts. You can Add, Modify, or delete Contacts. You con export or import the address book in two different formats.

    • a text format using comas "," to separate the contact fields.
    • LDAP Data Interchange Format (LDIF) used by Outlook Express, Yahoo etc.

    Check Other E-Mail

    This Feature allows you to setup and check your other e-mail accounts from your web site as long as they have a pop server for accessing the mail.

    To setup your other email accounts select the add POP server button and fill in the following fields:

    • Pop Server Name: This is the name of the incoming mail server name for your other e-mail account.
    • Port: This is default port to access mail server but not every mail servers are setup to use this port. In general if ISP's mail server is set for a different port they will tell you this.
    • Account Name: This is generally the first part of your email address. So if your address was john@mediaone.net your Account Name would normally be john.
    • Password: This is the password you normally use to access you other email account.
    • Download to Folder: Select the folder that the mail from this account is supposed to go into. See Folder Management for info on creating folders.
    • Only New Messages: Select this if you only wish to read mail that hasn't been download to you previously.
    • Delete From Server: Select this if you want the mail deleted from the server after it has been downloaded to you.

    Select the save button and your all done.

    To Access the your other mail; select Check Mail link next to the server 's name. If you have any mail it will report how many letters were received and give you a link to the folder that they were put into.

    To edit the other e-mail account's setup information; select the edit icon.

    To delete the other e-mail account; select the delete icon.

    You can access your YAHOO mail account using pop.mail.yahoo.com for the incoming pop server name.

    You can access your HOTMAIL account using pop.mail.hotmail.com for the incoming pop server name.

    If you still have problems Check with your ISP.

    Some ISPs that have such restrictions are:

    America Online
    AT&T Worldnet
    Compuserve
    Juno
    MSN
    Netcom
    Prodigy
    Sprint Mail
    WebTV

    You may need to contact them for details as to how to access their mail from a mail client. i.e. Outlook Express or the marsh.org.
